Variable Credit Courses: What does it all mean?

At census, all your variable credit courses (e.g., thesis, practicum, etc.) will be populated with students in the “VARIABLE CREDIT CLASS LIST” block in the SWASINS form and are ready for instructor entry. For detailed instructions, click here. Don’t worry if the “RI headcount” doesn’t match the “Actual Headcount”; the RI headcount is frozen at census, and the “actual” updates as students add or drop the course.

In addition, CSU employees and students who register for the course after census will not appear in the list because they are not considered “Resident Instruction” (which has nothing to do with residency). If an instructor who will be grading these students has already been added for another student, no changes are necessary since any instructor listed on the course can add a grade for any student.

Otherwise, add the instructor with an “Instructor Percent” of zero. This will allow the instructor to add a grade for a student who isn’t resident instruction without changing the overall instructor percentage for the students on the Variable Credit Class List.

What’s up with the Credit Department?

Credit department is not an accessible data entry field in the SWASINS form. The system will automatically assign a credit department for instructors entered in the form. The department will not appear immediately but will be generated overnight. If you have any questions about an assigned credit department, feel free to contact us here.

But what if I need more information?

You have three reports available; the Variable Credit Class List, and Missing Instructor Edit which you can access by entering “SWASREP” in the Aries Administrative Pages webpage (where you would enter SWASINS), and the Course Detail by Department which you can see on our website here.

Ok, got it. When do I need to have variable credit instructors entered?

Departments should have all instructors and their percentages entered no later than three weeks after census.
